Our client’s branded merchandise and collateral materials were being stored and “managed” by their marketing department. Occupied with other tasks, marketing had an inefficient system for managing the ordering and distribution of these items. Their 200-member sales force was frustrated with the resulting inconsistency. Complaints included:
- Long delivery times for orders
- A lack of updates by email (order confirmations, tracking information)
- Orders arriving with missing/incorrect items
- Popular items being out of stock regularly
- An outdated item selection
- Unclear communication on current inventory
- Difficulty tracking spending and budgets
- Inconsistent cost center coding
- Double bookings on trade show materials
- Trade show booths delivering with missing parts
The in-house system of managing sales tools and collateral materials was costing our client—in time, money, and lost sales opportunities.
The Solution
Following a thorough review of the current system and its negative impact on the organization, Artcraft proposed an online brand store and collateral management system. Our system allows sales representatives to visit the client branded web store, view live inventory, and easily order branded items and/or collateral materials. Confirmation emails are automatically sent as orders are received. An additional message is sent with tracking information when the order ships.
This client elected to include the following features:
- A budgeting module, allowing each sales representative to view their order history as well as their remaining spending balance
- A cost center for each sales rep, automating cost allocation
- An administration module, enabling the marketing manager to regulate individual user access to certain products and features
- A trade show reservations system, with Artcraft managing all logistics related to trade show booths
